Privacy policy
What the enquiry form collects, why it is collected, and what happens to it afterwards.
What is collected
The enquiry form collects a name, company, email address, phone number, site address and suburb, and the project details entered into the form, including any files attached. It also records the page the form was submitted from, the referring website, any campaign parameters in the link, the submission time and the device type.
Why it is collected
Your enquiry details are used to respond to your enquiry and prepare a quote. We also record which pages and ads led you to contact us, so we can see which advertising works. We never use your details to send you marketing.
Where it is stored
The enquiry form is provided by HubSpot, and submissions are stored in HubSpot's systems in their Australian region. HubSpot is a global provider and may process data in other countries in the course of running that service, which is governed by their own privacy terms. Email is handled by Microsoft 365. The website itself is served by Cloudflare and holds no enquiry data.
Cookies and measurement
The HubSpot form sets cookies in order to work and to attribute an enquiry to the page and campaign it came from. Most browsers let you block or delete cookies, and the form will still submit if you do.
The HubSpot tracking code also runs on every page of this site. It sets HubSpot cookies that record which pages you visit and where you arrived from, including whether you came through one of our Google ads. If you submit the enquiry form, that record of your visit is attached to your enquiry in HubSpot. If you do not, it is not linked to your name or contact details. Blocking or deleting cookies stops it, and the form will still submit.
Google Ads conversion tracking is installed across this site, as the Google tag (gtag.js), tag ID AW-16664312936. Its purpose is to record that an enquiry was made, by counting arrivals at the thank you page, so that advertising spend can be measured against genuine enquiries. It sets Google advertising cookies and reports to Google. It is not sent the details you type into the form. Google may also use those cookies to measure and target Eastern Melbourne Earthworks advertising to you elsewhere; you can review or switch that off at myadcenter.google.com, and browser cookie controls apply to it as they do to the form. Beyond HubSpot and that Google tag, nothing measures this site: there is no Google Analytics, no Tag Manager container and no other advertising tag. If that changes, it will be named here before it is switched on.
The Yarra Junction project page carries one embedded YouTube video. It is served from youtube-nocookie.com, which means YouTube sets nothing on your device unless you press play. If you do play it, YouTube receives that request and applies its own privacy policy to it. Every other page is free of third party embeds.
Security
The site is served over HTTPS, so anything entered into the form is encrypted in transit. Enquiries are stored in our customer management system and email account, both protected by two step verification, and only Shane Van Florestein, the owner of Eastern Melbourne Earthworks, has access to them.
Who it is shared with
We do not sell your details or share them with engineers, suppliers, subcontractors or anyone else. The only other parties that hold them are the services we use to store them, listed under Where it is stored, and they hold them on our behalf only.
How long it is kept
If your enquiry does not proceed to work, your details, including the record of your visit, are deleted from our systems after 12 months. You can also ask for your enquiry to be deleted at any time and it will be, unless we are required to keep it for a legal or tax reason.
Access, correction and deletion
Anyone can ask what is held about them, ask for it to be corrected, or ask for it to be deleted. Email shane@easternmelbourneearthworks.com.au and you will get a response within 30 days, which is the period set by the Australian Privacy Principles.
Making a complaint
If you think your information has been handled badly, raise it with us first using the contact details below and we will respond. If you are not satisfied with how it is resolved, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au, which is the body that oversees privacy in Australia.
Changes to this policy
If this policy changes, the new version is published on this page and the date below is updated.
